How to choose an HRMS for a growing business: an 8-point checklist

Most businesses run HR on spreadsheets and WhatsApp until something breaks: a payroll error, a leave dispute, a new hire who never got the offer letter. An HRMS (human resource management system) puts employee records, attendance, leave, payroll and hiring in one place so each part uses the same data.

There are many products and most demos look alike. This checklist helps you compare them on the things that decide whether the software is still working for you a year from now.

Signs you have outgrown spreadsheets

  • Payroll takes days because attendance and leave have to be cross-checked by hand.
  • Nobody can say how many leave days an employee has left without opening three files.
  • Employee details live in different places and differ between them.
  • New joiners and leavers need the same checklist every time, and it gets missed.
  • Managers ask HR for numbers that HR cannot produce quickly.

The 8-point checklist

  1. Does it fit how you work? Check your leave types, shift patterns and approval steps. If the demo cannot model your own rules, you will fight the software.
  2. Is attendance part of it? Attendance should feed leave and payroll directly. Ask which capture methods it supports: biometric devices, cameras, a mobile app, a desktop tracker.
  3. Does payroll match your country? Payroll rules differ by country. Confirm that the statutory deductions you must handle are built in or configurable, and ask to see a payslip produced from real attendance data.
  4. Can employees help themselves? Self-service for leave requests, payslips and personal details removes a large share of routine HR questions.
  5. Does it cover hiring and onboarding? Recruitment tracking (openings, candidates, stages) and a clean handover into the employee record save double entry.
  6. What reports do managers get? Ask who can see what, and whether reports update live or have to be exported.
  7. How is it priced? Look for pricing per employee per month, and ask whether features are locked behind higher plans. Surprises usually appear at renewal.
  8. What happens to your data and your support? Ask where data is stored, how you can export it if you leave, and what support you get during rollout.

A simple way to run the trial

  • Import 20 to 30 real employees, not demo data.
  • Run one real payroll month in parallel with your current method and compare the results.
  • Give two managers and five employees access, and ask what confused them.
  • Test your hardest case first: a night shift, a part-month joiner or a half-day leave.
